The Role

This is a newly created position designed to support the continued expansion of the firm’s Riyadh office. The successful candidate will provide high-level administrative, financial, and business development support to two Partners and their teams, focusing on Corporate, Energy, and Infrastructure practice areas. The role offers a dynamic work environment with a hybrid schedule—three days in the office and two days working remotely. This position is ideal for a proactive professional seeking early responsibility and the opportunity to shape the operational framework of a growing office.

Key Responsibilities

  • Diary and Stakeholder Management: Coordinate complex diaries spanning multiple time zones, ensuring seamless meeting schedules and stakeholder alignment.
  • Travel and Logistics: Arrange international travel, visas, and itineraries in strict adherence to firm policies and client requirements.
  • Meeting and Follow-Up Support: Prepare comprehensive meeting materials, track action items, and ensure timely follow-up to drive efficiency and accountability.
  • Client and Business Development Support: Cultivate strong relationships with internal and external stakeholders, assist in business development initiatives, and coordinate research, pitch preparation, and client events.
  • CRM Management: Maintain and update the firm’s CRM system to ensure client information remains accurate, current, and actionable.
  • Client Onboarding and Compliance: Oversee the onboarding of new clients and matters, ensuring all compliance requirements are met and documentation is completed with precision.
  • Billing and Financial Coordination: Manage billing processes using Aderant, including generating prebills, preparing invoices, and participating in WIP and credit control meetings.
  • Correspondence and Documentation: Act as the gatekeeper for fee earners, handling correspondence with discretion and drafting high-quality communications and documents.
  • Office Operations Support: Provide general operational support and collaborate with regional finance and business development teams to ensure the smooth functioning of the office during its growth phase.

Candidate Requirements

  • Saudi National with a strong academic background.
  • Proven experience as an Executive Assistant or Legal Assistant, preferably within a law firm or professional services environment.
  • Advanced proficiency in Microsoft Office Suite and experience with billing systems such as Aderant.
  • Demonstrated commercial and financial acumen, with the ability to analyze and interpret data effectively.
  • Fully bilingual in Arabic and English, with exceptional written and verbal communication skills at all organizational levels.
  • Professional demeanor, confidence, and the ability to build rapport with partners and clients alike.
  • Meticulous attention to detail, exceptional organizational abilities, and the capacity to manage multiple priorities under tight deadlines.
  • Collaborative mindset with a proactive approach, willingness to take initiative, and a commitment to contributing to the office’s growth.
