Key Responsibilities

The IT Asset Management Specialist will be responsible for the comprehensive lifecycle management of IT hardware and software assets, encompassing procurement, deployment, maintenance, tracking, reconciliation, and retirement. Your core duties will include:

• Lifecycle Management: Oversee the entire lifecycle of IT assets, from initial procurement and deployment to ongoing maintenance, tracking, and final retirement, ensuring seamless transitions at each stage.
• Inventory and Record Maintenance: Develop and maintain precise, up-to-date inventories and records of all IT assets, ensuring that data is accurate, accessible, and aligned with organizational requirements.
• Asset Tracking and Reconciliation: Monitor asset allocation, transfers, returns, replacements, and disposals, while conducting regular physical and system-based audits to reconcile discrepancies and maintain data integrity.
• Utilization and Compliance Monitoring: Track hardware and software utilization, warranty statuses, and lifecycle stages to ensure optimal performance and adherence to company policies and regulatory requirements.
• Software License Management: Administer software licenses, including renewals, allocations, and compliance tracking, to mitigate risks associated with non-compliance and optimize license expenditures.
• Stakeholder Collaboration: Serve as a liaison between IT, procurement, finance, HR, and other departments to facilitate seamless communication, coordinate asset-related activities, and support cross-functional initiatives.
• Procurement Support: Provide critical insights and data-driven recommendations to the procurement team, including asset requirements, inventory insights, and utilization reports, to inform purchasing decisions and enhance cost efficiency.
• Documentation and Tagging: Ensure proper tagging, registration, and documentation of all IT assets to maintain a clear audit trail and support compliance with internal and external standards.
• Contract and Warranty Oversight: Monitor warranties, maintenance agreements, and asset-related contracts to ensure timely renewals, minimize downtime, and reduce unnecessary expenditures.
• Cost Optimization: Identify and implement opportunities for cost savings and improved asset utilization, driving efficiencies that contribute to the organization’s financial and operational goals.
• Disposal and Data Security: Support the secure disposal of IT assets, ensuring adherence to data-security protocols and proper documentation throughout the retirement process.
• System Integration: Maintain accurate and comprehensive asset records within ITSM, CMDB, ERP, or dedicated IT Asset Management systems to support operational and strategic decision-making.
• Reporting and Analytics: Develop and deliver periodic reports and dashboards that provide visibility into asset inventory, utilization trends, compliance status, and lifecycle progression, enabling informed decision-making.
• Audit Support: Assist internal and external audits related to IT assets and software licensing, ensuring that all records and processes meet regulatory and organizational standards.
• Process Improvement: Contribute to the ongoing enhancement of IT Asset Management processes, controls, and methodologies to drive operational excellence and align with evolving business needs.
