Position Overview

The Administrator/Secretary in this role will provide high-level administrative and operational support to the Legal Director and the broader legal team, contributing to the seamless functioning of legal processes and corporate governance.
Key Responsibilities
The Administrator/Secretary for the Legal Department will serve as the backbone of legal operations, ensuring efficiency, accuracy, and compliance in all administrative tasks. Your core responsibilities will include:
- Legal Documentation Management: Oversee the preparation, organization, and maintenance of legal documents, contracts, corporate records, and regulatory filings. Ensure all documentation is up-to-date, accurately filed, and readily accessible in compliance with Saudi laws and company policies.
- Contract Administration: Manage contract trackers, coordinate the preparation of execution packs, and facilitate the signing process. Maintain meticulous records of contract deadlines, renewals, and amendments to support timely renewals and compliance.
- Corporate Governance Support: Assist in the preparation and maintenance of corporate records, including minutes, resolutions, and statutory filings. Ensure adherence to regulatory requirements and corporate governance standards.
- Legal Correspondence & Communication: Handle incoming and outgoing legal correspondence, including emails, letters, and communications with external stakeholders such as law firms, government agencies, and business partners. Ensure all communications are professional, accurate, and timely.
- Meeting Coordination: Organize and manage meetings, including scheduling, preparing agendas, taking minutes, and distributing follow-up actions. Ensure all meetings are conducted in a structured and efficient manner.
- Document Formatting & Proofreading: Prepare and format legal documents, including contracts, agreements, and court filings, to the highest standards. Conduct thorough proofreading to ensure accuracy, consistency, and compliance with legal terminology and formatting requirements.
- Database & Filing System Maintenance: Maintain and update legal databases, document management systems, and filing systems to ensure easy retrieval and compliance with data protection policies.
- Confidentiality & Compliance: Uphold the highest standards of confidentiality and discretion in handling sensitive legal information. Ensure all processes and documentation comply with internal policies and external regulatory requirements.
Qualifications & Experience
To excel in this role, you will bring a blend of administrative expertise and legal acumen, supported by the following qualifications and experience:
- Professional Background: Minimum of 2 to 3 years of experience in a legal administration, contract management, or corporate administration role. Prior experience as a Legal Secretary, Legal Administrator, or Executive Assistant within a law firm or in-house legal department is highly desirable.
- Technical Proficiency:
- Advanced proficiency in Microsoft Office Suite, with a strong emphasis on Microsoft Word for document preparation and formatting.
- Experience managing contract trackers, legal filing systems, and document databases.
- Ability to prepare execution packs and coordinate document signing processes efficiently.
- Organizational & Communication Skills:
- Exceptional organizational abilities with a keen attention to detail, ensuring all tasks are completed accurately and on time.
- Strong written and verbal communication skills, with the ability to draft clear, concise, and professional correspondence.
- Proven ability to manage multiple priorities in a fast-paced environment while maintaining a high level of accuracy.
- Personal Attributes:
