Document Controller – Drive Precision and Efficiency in Transportation Planning

As a Document Controller, you will play a pivotal role in ensuring seamless documentation management, compliance, and quality control across high-impact projects. In this full-time role within our Transportation Planning division, you will be responsible for maintaining the integrity and accessibility of critical project documentation while supporting our teams in delivering exceptional results. Your expertise will directly influence project success, regulatory compliance, and client satisfaction—making a tangible impact on infrastructure development in the region and beyond.

Key Responsibilities

Your work will be instrumental in:

  • Managing and Organizing Documentation: Maintain, update, and oversee electronic document management systems to ensure all project-related files are accurate, secure, and easily retrievable. Implement best practices for version control, archiving, and retrieval to support project timelines and compliance requirements.
  • Ensuring Quality and Compliance: Perform rigorous quality assurance and quality control on engineering documents to meet federal, state, local, and industry standards. Collaborate with cross-functional teams to align documentation with regulatory requirements and client expectations.
  • Supporting Project Leadership: Act as a trusted partner to the Project Manager by providing timely documentation assistance, clarifying requirements, and ensuring all deliverables adhere to project specifications and deadlines.
  • Driving Process Improvement: Identify opportunities to streamline documentation workflows, enhance efficiency, and reduce errors. Leverage your technical expertise to support continuous improvement initiatives within the team.
  • Adapting to Evolving Needs: Execute additional responsibilities as required to support project objectives, ensuring flexibility and responsiveness in a fast-paced environment.

Qualifications

To excel in this role, you will bring:

  • Education: An Associate’s degree in a relevant field such as engineering, documentation management, business administration, or a related discipline. Alternatively, equivalent experience may be considered.
  • Technical Proficiency: Proficiency in Microsoft Office Suite, including Word, Excel, and SharePoint, with experience in document management systems. Familiarity with industry-specific software (e.g., CAD, BIM tools) is a plus.
  • Regulatory Knowledge: Experience with compliance requirements for federal, state, and local record management regulations, particularly in transportation or infrastructure sectors.
  • Preferred Certifications: Certifications such as CDT, CACM, CBCS, ASQ, CCS, MOS, CSCP, or CQA will be highly regarded. While not mandatory, these credentials demonstrate a commitment to professional excellence.
