We are seeking a Fund Administration Manager to lead the operational backbone of our investment activities, ensuring seamless execution, compliance, and audit readiness across all entities, stakeholders, and documentation.

This pivotal role focuses on execution, follow-up, and meticulous record-keeping—acting as the central hub for all fund operations while collaborating closely with our fund administrator (Apex), general partner (Maples), legal counsel, and auditors. Your expertise will ensure that every instruction is tracked, every deadline is met, and every process adheres to legal, financial, and regulatory standards.

Key Responsibilities

As the Fund Administration Manager, you will:

• Coordinate cross-functional fund operations by serving as the primary liaison between Apex, Maples, legal teams, auditors, and internal stakeholders, ensuring alignment and seamless execution across all investment activities.
• Oversee end-to-end capital calls, validating administrator calculations against the Limited Partnership Agreement (LPA), maintaining a real-time cash tracker, and documenting every step to create a transparent audit trail.
• Monitor and enforce fund expenses by reviewing invoices, flagging non-compliant costs, and ensuring adherence to LPA limits and budgets—all while maintaining a live cost-tracking system.
• Ensure entity governance and compliance by coordinating board and shareholder resolutions, director appointments, and removals, while guaranteeing all entities remain in good standing with full follow-up discipline.
• Support portfolio companies in critical regulatory and operational matters, including CR issuance and renewals (KSA), director changes, Powers of Attorney, and bank account setups—collaborating with legal, service providers, and authorities to prevent operational bottlenecks.
• Maintain centralized, audit-ready documentation for the fund, entities, and portfolio companies, including KYC and identity records, eliminating dependency on third parties for critical files.
• Log and organize all communications, approvals, and instructions from administrators, legal, auditors, and service providers, ensuring full traceability and readiness for audits at any time.
• Streamline the audit process by preparing comprehensive data, documents, and reporting in advance of reviews, ensuring a smooth and efficient audit experience.
• Develop and refine structured tracking systems for tasks, documents, and approvals, continuously enhancing operational discipline as the fund scales.

Qualifications & Experience

We are looking for a seasoned professional with:

• 5-10+ years of experience in fund operations, fund administration, venture capital, or private equity, with a deep understanding of fund mechanics, capital calls, LPA compliance, and investor reporting.
• Exceptional organizational and analytical skills, with the ability to manage high-volume, multi-entity documentation while maintaining absolute accuracy and follow-through.
• Strong stakeholder management capabilities, including experience coordinating across jurisdictions, auditors, legal teams, service providers, and internal teams.
• A proactive and structured mindset, with the ability to build and sustain operational systems as the fund scales.
• Bonus qualifications include experience working with institutional fund administrators (e.g., Apex, Citco, Aztec) or GP management firms (e.g., Maples), as well as familiarity with KSA regulatory requirements, entity governance, or MENA fund structures.
