Your Role as an Operation Coordinator – BLS

As an Operation Coordinator within our Building Life Safety (BLS) division in Madinah, Saudi Arabia, you will serve as the backbone of our operational workflows. Your role is pivotal in ensuring seamless coordination between inspectors, technical teams, and clients while maintaining strict adherence to regulatory and company standards. You will be responsible for managing project assignments, tracking report completions, and facilitating efficient communication across all sub-departments, including Quality Control/Quality Assurance (QC/QA), design teams, and accounting. Your ability to multitask, prioritize, and maintain meticulous documentation will be essential in driving operational excellence.

Key Responsibilities

• Project Coordination: Assign and monitor projects to inspectors, ensuring timely completion and adherence to client requirements. Track the progress of reports and upload them to the Tawuniya portal in compliance with regulatory standards.
• Cross-Functional Support: Collaborate closely with QC/QA, design, and accounting teams to resolve operational challenges, streamline processes, and ensure alignment with company policies and client expectations.
• Client & Stakeholder Management: Handle client communications, including addressing inquiries, resolving complaints, and directing clients to the appropriate teams based on TÜV SÜD’s protocols. Maintain professional and courteous interactions to uphold the company’s reputation.
• Documentation & Reporting: Prepare and issue quotations for non-destructive, destructive, and design re-study services. Maintain accurate records of all technical documents, reports, letters, and warranties, ensuring proper archiving and accessibility for audits or future reference.
• Portal & System Management: Upload new projects to the Building Life Safety (BLS) Integrated Management System (IMS) and ensure all data is accurately reflected in the Tawuniya portal. Generate and submit weekly reports to the operations supervisor for performance tracking and strategic planning.
• Meeting Coordination: Organize and facilitate meetings across all BLS sub-departments, record detailed minutes, and circulate work instructions to ensure clarity and accountability among teams.

Qualifications & Skills

• Education: Bachelor’s degree or diploma in a relevant field such as Engineering, Business Administration, or a related discipline.
• Experience: Minimum of 1-3 years in a coordination, operations, or administrative role within the real estate, construction, or building technology sectors.
• Technical Proficiency: Strong working knowledge of Microsoft Office Suite (Word, Excel, PowerPoint) with the ability to prepare detailed technical reports and documentation.
• Soft Skills: Exceptional communication, interpersonal, and organizational skills. Ability to collaborate effectively with multidisciplinary teams and manage multiple priorities in a fast-paced environment.
• Industry Knowledge: Familiarity with real estate, building technology, and regulatory compliance standards in Saudi Arabia is highly advantageous.
