General Role Overview
As the Purchasing Clerk at Miraval The Red Sea, you will serve as a vital link in the procurement chain, ensuring the seamless acquisition of goods and services that support the resort’s operations. In this role, you will handle essential administrative tasks, facilitate clear communication, and manage documentation to uphold the highest standards of cost efficiency, quality control, and timely supply. Your contributions will directly impact the resort’s ability to deliver exceptional guest experiences while maintaining operational excellence.
Key Responsibilities
Your responsibilities as a Purchasing Clerk will encompass a range of strategic and operational tasks, including:
- Strategic Sourcing & Supplier Management:
- Identify and evaluate potential suppliers based on criteria such as price, quality, delivery speed, and service, both locally and internationally.
- Conduct comprehensive market research to discover new products, services, and suppliers, while staying attuned to industry trends.
- Develop and nurture long-term relationships with key suppliers to foster collaboration and reliability.
- Monitor supplier performance through regular reviews and address any discrepancies or performance issues proactively.
- Negotiation & Contract Management:
- Lead negotiations with suppliers to secure favorable pricing, terms, conditions, and service level agreements (SLAs).
- Prepare, review, and manage purchase contracts and agreements, ensuring compliance with legal requirements and risk mitigation strategies.
- Monitor contract expiration dates and initiate renewal or re-tendering processes to maintain optimal supplier arrangements.
- Purchasing & Order Management:
- Process purchase requisitions and convert them into accurate and complete purchase orders (POs) within the ERP system.
- Track the status of orders, expedite deliveries when necessary, and resolve any issues related to delivery timelines or product quality.
- Collaborate closely with internal departments, including operations, finance, and engineering, to understand their procurement needs and ensure timely fulfillment.
- Cost Management & Optimization:
- Identify and implement cost-saving initiatives without compromising quality or delivery standards.
- Analyze spending patterns to identify opportunities for consolidation or alternative sourcing strategies.
- Track the impact of cost-saving measures and report on their effectiveness to management.
- Compliance & Risk Management:
- Ensure all procurement activities align with hotel policies, ethical guidelines, sustainable practices, and relevant regulatory requirements.
- Proactively identify and mitigate potential supply chain risks, such as geopolitical challenges, natural disasters, or supplier solvency issues.
- Maintain meticulous procurement records and documentation to support audit processes and ensure transparency.
- Reporting & Analysis:
- Generate and analyze procurement reports, including spend analysis, supplier performance metrics, cost savings achievements, and market trends.
- Provide data-driven insights and recommendations to management to drive continuous improvement in procurement processes.
Qualifications & Skills

- Minimum of one year of experience in a similar position within a luxury hotel or resort environment.
- Exceptional communication and interpersonal skills, with a keen ability to listen and collaborate effectively.
- Strong organizational abilities and attention to detail to manage multiple tasks and priorities efficiently.

- Familiarity with ERP systems and procurement software is advantageous.
