Warehouse Administrator – Strategic Operations Lead

In this pivotal position, you will play a central role in ensuring the smooth flow of materials, from receipt to distribution, while upholding the highest standards of documentation and inventory accuracy. Your expertise will directly contribute to enhancing supply chain efficiency, reducing operational bottlenecks, and supporting production demands with precision.

Key Responsibilities:

• Inventory and Material Management: Oversee the receipt, verification, and documentation of raw materials, spare parts, and factory supplies, ensuring strict compliance with purchase orders and approved procurement processes. Validate incoming shipments against documentation to maintain accuracy and prevent discrepancies.
• Data Accuracy and System Integration: Maintain and update inventory records in our ERP system with meticulous attention to detail. Process material issue requests for production teams, track fulfillment statuses, and escalate any delays or shortages to management for timely resolution.
• Stock Monitoring and Reporting: Continuously monitor stock levels of raw materials and supporting supplies, identifying trends and potential shortages. Generate insightful reports to support inventory planning and procurement decisions, ensuring optimal stock availability without overstocking.
• Inventory Audits and Compliance: Conduct regular and annual physical inventory counts to validate system accuracy. Identify discrepancies, investigate root causes, and implement corrective actions to maintain inventory integrity.
• Warehouse Organization and Efficiency: Design and enforce standardized storage procedures to maximize space utilization and accessibility. Organize materials in alignment with company protocols, reducing retrieval times and minimizing handling errors.
• Documentation and Record-Keeping: Maintain comprehensive and up-to-date warehouse records, including but not limited to inventory logs, issue requests, and audit trails. Ensure all documentation adheres to regulatory and internal compliance standards.

Qualifications and Skills:

• Educational Background: Bachelor’s degree in Business Administration, Supply Chain Management, Logistics, or a related field. Relevant certifications in inventory management or warehouse operations are a plus.
• Professional Experience: Minimum of 1–2 years of hands-on experience in warehouse administration, inventory control, or a similar operational role. Proven track record in managing inventory systems and optimizing warehouse workflows.
• Technical Proficiency: In-depth knowledge of ERP systems and experience with inventory data entry. Advanced proficiency in Microsoft Excel, including data analysis, pivot tables, and automation tools. Familiarity with Microsoft Office Suite and warehouse management software is essential.
• Analytical and Organizational Skills: Exceptional attention to detail with the ability to identify patterns, resolve discrepancies, and implement process improvements. Strong organizational skills to manage multiple priorities in a fast-paced environment.
• Communication and Collaboration: Excellent written and verbal communication skills in English to interact with cross-functional teams, including procurement, production, and management. Ability to present data-driven insights and recommendations clearly and concisely.
