Document Controller – Drive Excellence in Infrastructure Documentation

As a Document Controller, you will be responsible for maintaining the integrity, accessibility, and compliance of critical project documentation while fostering collaboration across multidisciplinary teams. This role is ideal for a strategic thinker who thrives in an environment where meticulous organization and proactive problem-solving drive project success.

Key Responsibilities

In this dynamic role, your responsibilities will include:

  • Strategic Document Management: Oversee the entire lifecycle of project documentation, including the creation, review, distribution, and archiving of reports, specifications, contracts, and correspondence, ensuring alignment with project objectives and regulatory requirements.
  • Version Control and Accuracy: Implement robust systems for version control to guarantee that all stakeholders—from engineers to project managers—have access to the most current and accurate documentation, minimizing errors and delays.
  • Efficient Retrieval Systems: Design and maintain streamlined document retrieval processes, leveraging technology and workflows to enhance accessibility for authorized personnel while upholding security protocols.
  • Quality Assurance and Compliance: Enforce stringent quality control measures to validate the completeness, accuracy, and compliance of all documents with industry standards, organizational policies, and regulatory frameworks such as ISO guidelines.
  • Security and Confidentiality: Safeguard sensitive project information by enforcing strict access controls and security measures, protecting intellectual property and client confidentiality.
  • Process Optimization: Continuously evaluate and refine document management workflows to improve efficiency, reduce redundancies, and align processes with evolving project needs and technological advancements.
  • Stakeholder Collaboration: Act as a bridge between technical teams, project managers, and administrative staff, ensuring seamless communication and coordination throughout document-related workflows.
  • Training and Mentorship: Provide comprehensive training to team members on document management tools, best practices, and compliance protocols, fostering a culture of accountability and expertise.
  • Performance Auditing: Conduct regular audits of document management processes to identify gaps, enforce improvements, and ensure adherence to organizational and industry standards.

Qualifications and Experience

To excel in this role, you will bring:

  • A Bachelor’s degree in Engineering, Business Administration, or a related field, complemented by a minimum of 5 years of hands-on experience in document control or records management within the consultancy sector, with a focus on infrastructure projects such as roads, tunnels, bridges, and highways.
  • Proven expertise in managing document workflows, ensuring version control, and maintaining compliance with regulatory and industry standards.
  • Proficiency in document management software and Microsoft Office Suite, with an ability to adapt to emerging technologies and tools.
  • A keen eye for detail, coupled with exceptional organizational and time-management skills, to handle complex documentation with precision.
  • Strong analytical and problem-solving abilities to identify inefficiencies and implement solutions that enhance productivity.
  • Outstanding communication and interpersonal skills, enabling effective collaboration with cross-functional teams and clear articulation of technical documentation requirements.
  • Familiarity with ISO standards and other regulatory frameworks governing document management is highly advantageous.
  • A Certified Document Controller designation or equivalent certification is a significant asset.
  • Eligibility to work as a Saudi national is mandatory for this position.
