Role Overview
As a Specialist, Tender Management, you will play a pivotal role in driving business growth by overseeing the complete tendering and bid preparation lifecycle. This position requires a meticulous and strategic approach to ensure competitive and compliant submissions that align with client expectations and organizational objectives. You will collaborate with cross-functional teams to develop high-quality proposals while adhering to strict deadlines and regulatory standards. Your expertise will be instrumental in securing new business opportunities and fostering long-term client relationships.
Key Responsibilities
In this dynamic role, your core responsibilities will include:
- Tender Analysis & Documentation: Thoroughly review and interpret tender documents, including Requests for Quotations (RFQs), Requests for Proposals (RFPs), and Invitations to Tender (ITTs), to identify critical requirements and potential risks.
- Stakeholder Coordination: Act as the central liaison between sales, technical, procurement, finance, and legal teams to gather essential information, clarify ambiguities, and ensure seamless collaboration throughout the bid preparation process.
- Proposal Development: Compile and prepare comprehensive technical and commercial proposals that meet client specifications, emphasizing competitive pricing, innovation, and value-added solutions.
- Compliance & Quality Assurance: Ensure all tender submissions strictly adhere to contractual, technical, and commercial requirements, mitigating risks and enhancing the organization’s credibility.
- Pricing & Cost Estimation: Coordinate pricing strategies and cost estimation activities to develop compelling and financially viable offers that position the company favorably in the market.
- Deadline Management: Oversee bid schedules, prioritize tasks, and deliver high-quality submissions within stipulated deadlines to maximize success rates.
- Documentation & Record-Keeping: Maintain organized tender records, databases, and document control systems to ensure transparency, traceability, and compliance with internal and external standards.
- Client Engagement: Address client inquiries, provide clarifications on tender requirements, and respond to queries in a timely and professional manner to strengthen client relationships.
- Risk Assessment & Opportunity Identification: Analyze tender documents to identify potential risks, assumptions, and growth opportunities, and incorporate mitigation strategies into proposals.
- Contract Handover & Post-Bid Review: Support contract negotiations and facilitate a smooth transition to project execution teams upon award. Conduct post-bid reviews to evaluate performance and identify areas for improvement in future submissions.
Qualifications & Competencies
To excel in this role, you should possess the following qualifications and skills:
- Education: A Bachelor’s degree in Electrical Engineering or a related field.
- Experience: Minimum of three years of proven experience in tendering, bidding, proposals, or commercial operations, with a track record of delivering successful outcomes.
- Industry Knowledge: A strong understanding of procurement processes, contract management, and tendering best practices.
- Technical Proficiency: Advanced skills in Microsoft Office Suite, particularly Excel, Word, PowerPoint, and SharePoint, to create and manage bid documentation efficiently.
- Soft Skills: Exceptional analytical, organizational, and project coordination abilities, coupled with strong communication and stakeholder management skills to navigate complex interactions.
- Time Management: The capacity to manage multiple deadlines simultaneously while maintaining a high level of accuracy and attention to detail.
- Compliance Focus: A commitment to ensuring accuracy, adherence to regulations, and continuous improvement in tender processes.
